How to reschedule a client appointment without a duplicate
Move an existing Desk appointment with Edit or drag, verify the new time, and handle conflicts without creating a second booking.

To move a client's existing appointment in the Desk mobile app, open that appointment and use Edit, or long-press it in a timeline and drag it to the new time. Work on the booking you already have so you can verify one moved reservation instead of creating another one.
Agree on the new date and time first. After saving or releasing a drag, reopen the appointment and check the result before telling the client the change is complete.
Start with the right appointment and communication settings
Check the selected business, client, original date, and service. If the client has several upcoming visits, identify which one they want to move. Keep the other visits as they are.
Before using either method, check that the full visit fits the team member's schedule, working hours, and any required shared equipment. Include the complete service duration, not just the start time.
Before moving a booking with automatic texts enabled, check the client's documented written or electronic permission for your business and that message purpose. Review any opt-out, your provider's STOP/HELP instructions, sending settings, and credits. If permission is missing, keep the relevant texts off and use another permitted channel.
Owners and managers can review Business Settings → Notifications → SMS notifications → Send reschedule notifications. An enabled switch does not establish permission or delivery. SMS credits are charged separately. See Desk's automatic-text guide for the settings.
Use Edit when you want to review the details
- Open the existing future appointment from the calendar and confirm the client and original visit.
- Tap Edit and set the agreed new date and start time.
- Review Assigned Team and Selected Services. Check the calculated end time, including the full length of the work.
- Review the other details and tap Save.
- Open the saved appointment on the new date and compare it with the agreed change.
Desk's appointment documentation describes Edit for changing the appointment you opened. If the client wants an additional visit instead, use the separate Book Next workflow.
Changing the date should be a deliberate choice. Do not use Book Next merely because you cannot find the original booking; locate that record before creating anything else.
Use a drag for a move you can see in the timeline
In the Desk mobile app, long-press the existing event and drag it to the intended time. The documented drag behavior snaps to 15-minute increments. In a multi-day view, you can also drag it to another day.
Release to save the move. Do not assume the exact time under your finger is the saved time; reopen the appointment and read its start and end times. If the snapped result is not what you agreed, use Edit to review the date and time.
Drag moves can fail when the new time conflicts, for example when required equipment is already booked. If Desk shows “Event could not be moved,” inspect the actual appointment before trying again.
If a move fails or the result is unclear
Start by finding the appointment on its original date and on the proposed new date. Read the saved details rather than assuming the last gesture succeeded or failed.
Then review what could prevent the intended visit from fitting:
- The selected team member's availability and existing appointments.
- The service's full duration and calculated end time.
- Working hours and breaks on the new day.
- Any required room, chair, or equipment already in use.
Desk's working-hours documentation covers the business schedule, and our shared-equipment guide explains resource capacity. Check the particular service and team member rather than assuming every visit has the same length.
Do not create a second appointment to test whether the new slot works. If you still cannot reconcile the saved record with the intended move, contact support with the relevant date and error details. Keep client information out of public screenshots.
Verify the move, then confirm the final details
Reopen the appointment on the new date. Check the client, full date, start and end times, assigned team, services, and status. Review any payment, deposit, or form information shown on that record separately; do not assume a date change has resolved those requirements.
Look at the old time too. It should no longer contain the appointment you intended to move. A different client's booking or another visit for this client may still be there, so inspect the details before deciding that a record is a duplicate.
Read back the final arrangement through a permitted channel. For example: “Your appointment is now [weekday, full date] at [start time], ending at [end time], with [team member].” Replace the fields with the saved details, not the time you originally tried to select.
If you requested an automatic reschedule text, check the message's status before relying on delivery. If delivery is uncertain, confirm through another permitted channel. A saved appointment is not proof that the client received a message.
If a duplicate already exists
Identify which record should remain before taking action on either one. Check its client, dates, services, and payment details against the intended booking.
Cancel Event is a cancellation action, not a date change. Desk documents that canceling an appointment with a paid deposit refunds that deposit to the client. Review the deposit behavior before canceling an unwanted record, and ask support if the payment state is unclear.
For a reschedule, the useful result is the existing appointment saved at the agreed new time, with its remaining requirements understood and the client informed through a channel you can verify.
