How to book a client's next appointment before they leave

Use Book Next in Desk to start a follow-up with the same client, services and team member. Check the new date and saved details before calling it booked.

Agree on the next visit, then save a separate future appointment while the client is still with you. In Desk, Book Next starts a follow-up pre-filled with the same client, services, and team member. Check those fields and choose the new date and time before saving.

This is a way to arrange one agreed visit. Do not treat a suggested return date, an open booking form, or a copied set of services as a finished reservation.

Ask about the next visit before choosing a time

A short question is enough: “Would you like to book your next visit now, or would you rather choose a time later?”

If the client wants to book, agree on the service and a date that works for both of you. Read back the weekday, full date, start time, and expected visit length. “Same time next month” can mean different dates; use the calendar to settle which one you mean.

Avoid choosing a universal return interval for every client. The right timing depends on the service and what the client wants. This guide does not prescribe how often a haircut, lesson, cleaning, or other service should happen.

If they are undecided, leave the next visit unbooked. Offer your public booking link through a channel they can use, so they can choose later. Our booking-link guide explains how to make that route easier to find.

Use Book Next from the appointment you already have

Use the Desk mobile app. Before creating or confirming a visit with automatic texts enabled, check the client's documented written or electronic permission, any opt-out, SMS settings, and credits. If permission is missing, keep the relevant texts off and share the details through a permitted channel. See Desk's SMS notification guide.

  1. Open the client's current appointment from the calendar. Confirm that it is the right client and visit.
  2. Choose Book Next. Desk's appointment guide documents a follow-up pre-filled with the same client, services, and member.
  3. Review those entries. Keep the copied service only if it matches the next visit; change it if the client wants something different.
  4. Set the agreed future date and start time. Review the assigned team member and whether the visit fits their schedule and any required shared equipment.
  5. Check the calculated end time and the details shown in the form. Complete the required fields, then tap Create. Use Save when editing an existing appointment.

Desk calculates an appointment's end time from the total duration of its selected services. If that length does not match the next visit, resolve it before saving. See how to set realistic service durations for the underlying service setup.

The documented copied fields are client, services, and member. Review the price and any applicable deposit or form requirements separately. Do not assume that a previous payment, deposit, or completed form settles the requirements for a new visit.

Reopen the saved future appointment

Navigate to the chosen date and open the saved record. Compare it with what you agreed:

Check What you are confirming
Client The record belongs to the person who agreed to the visit
Date and start time The full date and time match the conversation
Services and end time The planned work and reserved length are correct
Team member The intended person is assigned
Status and requirements You understand any remaining steps shown for this visit

Then read the final details back to the client so they can add the appointment to their own calendar. This read-back checks your agreement; it is not a claim that Desk has synchronized their calendar.

A saved booking and a delivered notification are different things. If you rely on a notification, check its settings, the client's documented permission, and message status separately. Do not assume an SMS arrived because you saved the visit.

Keep a follow-up separate from a reschedule

Book Next starts a follow-up. Edit changes the appointment you opened. If the client needs another visit, keep the current visit's date and history intact and create the next one separately.

If they instead need to move an existing future appointment, open that future record and edit it. Creating a second visit while leaving the unwanted one in place can leave you with two reservations for one request.

When you are unsure whether saving worked, look for the future record before starting again. If you find a duplicate, identify the unwanted appointment carefully. Before using Cancel Event, check that record's payment details: canceling an appointment with a paid deposit refunds the deposit to the client. For a confirmed appointment, Cancel Event marks it Canceled and removes it from the schedule. Verify that you selected the unwanted record.

This workflow uses Book Next for one follow-up at a time. It does not establish that a recurring series has been created. Before the client leaves, your useful result is one saved future appointment whose date, service, member, and remaining requirements you have both reviewed.
