On iPhone, open Profile → App in Desk to connect your calendars. Choose Apple Calendar Sync to send active Desk appointments to Apple Calendar. Choose Show Apple Calendar in Desk to see personal events alongside your appointments. Each feature requires full Apple Calendar access.

The controls are independent. You can use either one or both, depending on where you want to check your day.

Choose what you want to see

What you need Desk setting What it does
See client appointments in Apple Calendar Apple Calendar Sync Sends active Desk appointments one way into a dedicated red calendar named Desk
See personal commitments while looking at Desk Show Apple Calendar in Desk Displays personal Apple Calendar events in Desk's timelines as read-only busy blocks

One-way sync means Desk sends appointment information to Apple Calendar. Make appointment changes in Desk; editing an Apple Calendar event is not a way to reschedule the Desk appointment.

For example, you might want client visits in the calendar you check each morning, while keeping a personal commitment visible when arranging another visit in Desk.

The setup below follows Desk's Apple Calendar documentation.

Send Desk appointments to Apple Calendar

Before enabling this setting, know what turning it off does: disabling Apple Calendar Sync removes all previously synced events from Apple Calendar. Treat it as a connection setting, rather than a temporary way to hide appointments.

  1. Open Profile → App in the Desk iPhone app.
  2. Turn on Apple Calendar Sync.
  3. When iOS asks for Calendar access, allow full access if you want to use this feature.
  4. Open Apple Calendar and look for the dedicated red calendar named Desk. Make sure it is selected for display.
  5. Compare an existing active appointment in Desk with its event in Apple Calendar. Check the date, start time, and end time.

You do not need to create a real client booking just to perform this comparison. Use an appointment already on your schedule, and avoid changing it for a test.

If the event is missing, work through the checks below. Desk's cited documentation does not specify a refresh interval.

Show personal Apple Calendar events inside Desk

  1. Return to Profile → App.
  2. Turn on Show Apple Calendar in Desk and grant full Calendar access when requested.
  3. Open a Desk timeline for a day with a personal event you recognize. If you need a test event, use a harmless title without client information.
  4. Check that the personal event appears as a read-only busy block at the expected time.

You can also show or hide this overlay from the calendar's top-right menu. Hiding the overlay and turning off appointment export are separate actions.

Personal events remain read-only in Desk. Edit the original event in Apple Calendar when you need to change that commitment.

Check booking availability separately

A busy block helps you see a commitment while reviewing your schedule. Seeing it there does not tell you whether clients can choose the same time on your public booking page.

Desk's cited documentation describes the personal-calendar overlay, but does not say whether it blocks online booking. Before relying on it for that purpose, check your public booking page for a known personal commitment. You can inspect offered times without submitting a booking.

If the overlapping time is still offered, resolve your availability settings before sharing the link or accepting that time. Ask Desk support if you need help confirming how your setup handles personal events.

For a different type of conflict, such as two staff members needing the same room, see our guide to avoiding double-booking shared equipment.

If events are missing or you want to stop seeing them

Start with the direction that is failing. Missing client appointments in Apple Calendar call for checking Apple Calendar Sync. Missing personal events inside Desk call for checking Show Apple Calendar in Desk and the overlay menu.

Then review permission on your iPhone: Settings → Privacy & Security → Calendars → Desk. Check that Desk has the full access its calendar features require. Apple's guide to app permissions explains where to review access after accepting or declining a request.

If appointments are exported but invisible, check which calendars Apple Calendar is displaying. Apple's multiple-calendar guide explains calendar selection. A hidden calendar and a missing event need different checks.

Do not toggle Apple Calendar Sync off as a first troubleshooting step: it removes the events previously synced to Apple Calendar. If you only want a cleaner view, hide the Desk calendar in Apple Calendar instead. To hide personal events inside Desk, use the overlay control.

Once you can see the expected events in each chosen view, continue managing client bookings in Desk. When a client needs another visit, Book Next creates the follow-up appointment; calendar export is a separate feature.
