How long should you make a bookable service?
Measure service time from setup to cleanup, set Duration in Desk, and check the next appointment fits before offering the time to clients.

Set a service's bookable duration to cover the time you need before you can start the next appointment. That may include setup, the service itself, checkout, and resetting your workspace. The hands-on part alone can be too short.
In Desk, start in Business Settings → Services in the mobile app. The service editor has a Duration field. Choose a realistic length, then check the appointment's end time and your public booking page before relying on the new setting.
Measure until you are ready for the next client
For a service that repeatedly runs over, write down three things during several recent or upcoming visits:
- When you start preparing specifically for that appointment.
- When the client's service ends.
- When checkout and reset are finished and you can start the next visit.
Use elapsed time, not just minutes spent actively working. If you cannot take another client while a task finishes, that time still occupies your schedule.
Keep the notes simple: service name, start, finish, ready for next client. You do not need client names or personal details for this calculation.
Look for a duration you can repeat under normal conditions. Do not base the whole menu on your fastest visit. If one kind of visit consistently needs more time, give it a clear service name and description rather than expecting every client to fit the shorter option.
Count setup and cleanup once
Here is a hypothetical planning example, not a service standard or a result from a Desk customer:
| Work that occupies your time | Example minutes |
|---|---|
| Appointment-specific setup | 5 |
| Hands-on service | 40 |
| Checkout and workspace reset | 10 |
| Total reserved time | 55 |
With the whole block starting at 10:00, the next appointment could start at 10:55 if you are ready then. A 40-minute reservation would leave 15 minutes of work outside the reserved time.
Be clear about when the client should arrive. If the first five minutes are preparation without the client, the client-facing description must explain that arrangement. Otherwise, plan to be ready when their booked appointment starts.
Count each task once. If you combine two services in one appointment, do not add the same checkout and reset allowance to both without checking the total. Some combinations need less shared setup; others need a longer changeover.
There is no universal cleanup allowance here. Use the time your work actually requires, including any procedures that apply to your service.
Set the duration in Desk
Use the mobile app and your own service menu:
- Open Business Settings → Services and open the service you want to adjust. Use + if you are creating a new service.
- Check Name & Description so clients can tell what the appointment includes.
- Set Duration. Desk's documentation describes days, hours, and minutes, with five-minute steps. If your measured time falls between steps, choose enough time to cover it.
- Check Team Member, which is required. Save the service and reopen it to confirm the duration is retained.
Desk's service documentation also says the same service can have different durations for different team members. If you use that setup, review each member's duration rather than assuming one change covers everyone.
When creating an appointment, Selected Services calculates the end time from the total duration. Check that result before you save, especially when selecting more than one service.
Changing the service menu is not proof that existing appointments have moved or become longer. Review already-booked visits separately before changing what clients expect.
Keep reserved time and client expectations aligned
If you include reset time in Duration, it belongs to the appointment's reserved length. Do not present it as a hidden buffer or assume Desk will display a separate treatment duration.
For example, your description could say: “Please allow 55 minutes for this appointment, including consultation and checkout.” Use wording that matches your actual service. If the client leaves before your reset is finished, explain their expected visit length separately.
Some scheduling products have a separate buffer control. For example, Acuity documents padding before or after appointments. That setting belongs to Acuity; this Desk guide uses the documented service Duration field.
Also distinguish duration from minimum booking notice. Notice gives you time between receiving a booking and its start. It does not lengthen the appointment.
Check a simple appointment, then a tight gap
Start with one service and one team member. In the appointment form, select the service and compare the calculated end time with your intended reserved length. Inspect it before saving; you do not need to create a live appointment just to check the calculation.
Next, open your public booking link in a browser. Select the same service and check the duration clients see. Inspect available times without submitting a booking or entering a client's information.
For the 55-minute example, consider a day ending at 17:00. A 16:15 start would finish at 17:10, so it would not fit wholly inside those working hours. This is a planning check, not a report of a live booking test.
If an offered time does not match your calculation, recheck the selected service, team member, saved duration, working hours, and breaks. Resolve the difference before sharing availability. If you share a chair or room, also check required equipment and capacity.
Review the setting after you have used it for several visits. If you still finish late, identify which task needs more time. If you regularly have unused time, check the notes before shortening every service.
