In the Desk mobile app, open Clients → Groups → Search by Booking to find clients from their appointment history. Set a Date range, choose the Services and Appointment statuses you need, then open Results. Tap a client to review their profile.
This is useful when you remember the work and the period, rather than a person's name. For example, you might need to find clients with appointments for a particular haircut service last month. The results depend on the appointments recorded in Desk and the filters you choose.
Decide which appointments should count
Before searching, write the question in one sentence: “Find clients with completed appointments for [service] during [period].” Replace the brackets with your actual service and dates.
Choose the status deliberately. A client can have booked a service without the appointment being marked Completed. If you include every status, canceled or no-show appointments can be included in the search too.
Here is a hypothetical search for one month's recorded haircut appointments:
| Filter | Example selection | Why it matters |
|---|---|---|
| Date range | September 1–30, 2026 | Defines the appointment period you are checking |
| Services | The specific haircut service from your menu | Keeps the search focused on that service |
| Appointment statuses | Completed | Restricts the question to appointments recorded with that status |
Use your own service name and period. The example describes search settings, not a real customer list or a measured result.
Run Search by Booking
- Open the Clients tab and tap Groups at the top left.
- Open Search by Booking, the first row in the group list.
- Set the Date range for the appointments you want to check. Leave both dates off only if you want to search any date.
- Pick one or more Services. Include every service only when your question is not tied to a particular one.
- Pick one or more Appointment statuses. Include every status if that is what you intend to review.
- Open Results, then tap a matching client to open their profile.
These controls are documented in Desk's guide to client groups and Search by Booking.
The results are a list of clients. Use the appointment history on a client's detail screen to check the relevant service, date, and status. Do not use the number of matching clients as a count of appointments: one person may have booked more than once.
If you need a table of appointments to review or share, see how to export appointment history. Search by Booking answers who matches; an appointment report serves a different purpose.
Check a result before acting on it
Open a profile you recognize and compare its recorded history with the question you wrote. Did you choose the intended service and period? Does the appointment have the status you meant to include?
Desk's client detail screen shows upcoming and previous appointments, along with other sections that have content. History there is read-only. To book or manage an appointment, use the Calendar area rather than trying to change it inside the client's history.
If your next step is to schedule another visit, confirm the service and time with the client first. Our guide to booking the next appointment covers that separate workflow.
If someone you expected is missing
Check the filters one at a time. Confirm the service you selected, expand the date range if needed, then review which statuses you included. Run the search again after each change so you can see which condition affected the results.
A missing result does not establish that the client never visited. The appointment may fall outside your filters, or the relevant history may not be recorded in Desk.
This matters after moving from another app. Desk's client import transfers supported client details, but not appointment history, payments, or visit counts. An imported client can therefore be present in your client list without the older appointments needed for this search.
If you know the person's name, phone number, or email, use the regular Clients search to find their record directly. Review the available history before assuming that a broad search result tells the whole story.
